Job Description
PRIMARY FUNCTION:
Providing reception and Switchboard services together with general administration and
system support to all departments within the Company.
OBJECTIVES:
- First point of contact to visitors to the Company.
- To meet personal callers to the reception area, ensuring visitors badges are allocated and collected.
- Answering of telephone calls and taking messages as and when required.
- Relaying daily answering phone messages.
- Opening and sorting of all incoming mail.
- Preparation and franking of outgoing mail.
- Preparation and scanning of company documentation for archives.
- General filing for sales departments.
- Customer support to all departments.
- Support meeting requirements - food, drink, equipment.
- Ensure kitchen areas are tidy.
- Maintenance of company databases as required. (SAP, etc)
- A wide variety of administration tasks as and when required to give support to all departments of the Company.
- Order office supplies
- Update notice boards
- Support the Team Leader as and when required.
SKILLS REQUIRED:
- Competence with Microsoft Office applications
- Ability to learn and work with in-house company systems.
- Ability to work as part of a small team.
- Ability to prioritise own tasks and work to deadlines.
- Good written and verbal communication skills.
- Ability to work methodically and with accuracy, (attention to detail)
